Step 1: Review Your Current Contract
Re-read your existing contract first. Check your notice period, any early termination terms, and what happens to keys or access codes at the end of the relationship. Send cancellation notice in writing and keep a copy.
Step 2: Choose the New Provider Before You Cancel
There should be no gap in service. Source and select your new provider while still under your existing contract, so the new start date aligns with the end of the old one.
Step 3: Walk the Facility With the New Provider
Walk your entire building, pointing out every room in scope, areas that had problems with the previous company, restricted areas, supply locations, and access procedures.
Step 4: Tell Your Team
Let staff who interface with cleaning crews know the company is changing, what the new schedule looks like, and who to contact with feedback.
Step 5: Evaluate Closely in the First 30 Days
Do walkthroughs weekly for the first several weeks. Note any missed tasks and communicate them promptly — the standard you set early shapes long-term service quality.
Step 6: Formally Close Out the Old Relationship
Confirm the prior contract is terminated in writing, retrieve all keys and access codes, and settle any outstanding invoices.
